Intermittent Leave Policies and Procedures

Employee Requirements

The following procedures have been developed in order to ensure that employees are able to use approved intermittent leave with the least amount of disruption to department operations.

  1. Ensure that the Health Certification and other required paperwork has been returned. Also ensure that you have received a Notice of Designation from HR, approving your leave.
  2. For foreseeable leave please follow your departments usual and customary notice requirements (call-in procedures). Whenever possible please give at least 48 hours of notice for medical or other appointments. (The more notice the better).
  3. For unforeseeable leave you must still comply with your department’s usual and customary notice requirements for requesting leave. However, in the event of an emergency, please notify your supervisor as soon as you are able.
  4. Since leave taken on an intermittent basis may span several months following the initial medical certification, the City may request recertification in confirming whether the need for leave due to a serious health condition has changed over time.
  5. Make a reasonable effort to schedule treatment so as not to disrupt your department's operations.
  6. Meet regularly with your supervisor to ensure they are kept informed about your particular circumstance.
  7. An employee calling in "sick" without providing more information will not be considered sufficient to put the city on notice that the employee is making a request for unforeseeable FMLA leave.
  8. The City may require recertification of a serious health condition every 30 days to confirm whether the reduced leave schedule is still medically necessary.
  9. Employees will be charged vacation, sick and other accrued paid time off while on leave (please see the Employee Handbook for the Family and Medical Leave policy)

The City reserves the right to delay or deny leave if the employee fails to comply with these requirements.
